Our “Remote First” working model enables CMTO staff to work remotely most of the time.
The Executive Assistant will be expected to work onsite approximately two days per week based on operational requirements.

About the Role
CMTO is introducing a newly created position that will be central to the success of the Office of the Registrar. As Executive Assistant to the Registrar & CEO, you’ll provide high-level administrative and governance support, ensuring the Registrar can focus on strategic priorities.
This role goes beyond traditional administrative duties—you’ll establish best practices, streamline processes, and act as a trusted liaison with the Senior Leadership Team. You’ll anticipate needs, manage complex schedules, and ensure timely delivery of critical materials for executive and governance functions.

Key Responsibilities
Executive Support
- Manage the Registrar’s calendar—schedule, prioritize, and coordinate meetings, conferences, and travel.
- Prepare agendas and briefing materials, ensuring all documentation is ready well ahead of deadlines.
- Monitor priorities and anticipate needs to keep the Registrar ahead of commitments.
- Proactively resolve scheduling conflicts and logistical challenges with discretion and professionalism.
Governance & Leadership Support
- Provide support and backup to the Manager, Governance for board and committee meetings.
- Coordinate logistics for onsite, virtual, and hybrid meetings—venue set up, catering, and technology.
- Liaise with the Senior Leadership Team to ensure timely delivery of key submissions and materials.
Skills and Qualifications
- Post-secondary diploma or degree in Office/Business Administration (or equivalent experience).
- 5+ years providing executive-level administrative support.
- Advanced proficiency in Microsoft Office Suite, Teams, and Zoom; skilled in managing hybrid meetings.
- Exceptional organizational and time management skills—able to juggle multiple priorities under tight deadlines.
- Strong communication and interpersonal skills to engage stakeholders professionally.
- High level of discretion and ability to handle sensitive information.
- Familiarity with governance structures and internal meeting processes.
- Proactive, resourceful, and forward-thinking—you don’t just react, you anticipate.
